User Data Deletion

You may ask HealthDolphin.ai to delete personal data associated with your account. This page explains how to submit a request, how we verify it, and when some information may need to be retained.

1. Submit a deletion request

Send an email from the address associated with your account to privacy@healthdolphin.ai with the subject "User Data Deletion Request" and include:

• Your full name and registered email address.
• The clinic or organization associated with your account, if applicable.
• A clear description of the account or personal data you want deleted.

Please do not include passwords, medical records, government identification numbers, or other sensitive information in your initial email.

2. Identity and authority verification

To protect your information, we will verify your identity before processing a request. If your data is managed by a clinic or healthcare provider, that organization may be the data controller and may need to authorize the request. We will tell you if you need to contact the organization directly.

3. What happens after verification

Once the request is verified and approved, we will delete or irreversibly anonymize personal data under our control, including where applicable:

• Your user profile and account identifiers.
• Contact details and account preferences.
• Data received through connected services that is associated only with your account.

We will acknowledge your request and provide an update after verification. Completion time depends on the scope of the request and any legal, security, or contractual obligations that apply.

4. Information we may retain

We may retain limited information when required by Malaysian law, healthcare record-retention rules, financial or audit obligations, fraud prevention, security investigations, or the establishment or defence of legal claims. Data stored in backups may remain until the relevant backup is securely overwritten under our retention schedule and will not be restored for ordinary business use.

5. Connected platforms

Removing HealthDolphin.ai from a third-party platform may stop future access but may not automatically delete information already stored by HealthDolphin.ai. Submit the request described above so we can identify and process any retained data associated with the connection.
